Contact Us page checklist: phone, map, form and working hours
· 7 min read
A customer who reaches your contact page has already decided to talk to you. That makes it one of the few pages where a small error, like an old mobile number or a form that silently fails, loses a lead that was nearly won. This contact us page checklist covers every element the page needs, how to confirm each detail is correct, and how to make sure each option actually works on a phone.
Keep a notepad or spreadsheet open as you go. Most businesses find at least two or three things to fix, usually in places nobody has tested since the site launched.
Start with the details: an accuracy audit
Before thinking about design, confirm the facts. Contact details go stale quietly: staff change numbers, offices move floors, a shared inbox gets retired. Search engines and directories may also show older versions of your details, which confuses people further.
- Business name written exactly as it appears on your signboard, invoices and Google Business Profile
- Full postal address with building name, floor, street, locality, city, state and six-digit PIN code
- Primary phone number with the country code, and a note on who answers it
- WhatsApp number, if different from the calling number
- Email address on your own domain rather than a personal webmail account
- Working days and hours, including lunch breaks and weekly offs
- GSTIN, if you choose to show it for B2B trust
Compare each item with your Google Business Profile, social media pages and letterhead. The same name, address and phone number everywhere helps customers and reduces mixed signals in local search results.
Phone numbers that people can tap
On a mobile, a phone number should open the dialler with one tap. That means wrapping it in a proper telephone link on the website rather than showing it as plain text or, worse, inside an image. Write the number in full international format behind the link, such as +91 followed by the ten-digit mobile number, so it works for callers outside your state and abroad.
Checks for the phone section
- Tap the number on an Android phone and an iPhone; the dialler should open with the right digits
- Call it during working hours and note who answers and how quickly
- Call it outside working hours and check that voicemail or a message explains when you will respond
- If you list separate numbers for sales and support, label each one clearly
Avoid showing five different numbers without explanation. Two clearly labelled options are easier than a list that leaves people guessing.
The map and address block
An embedded map is useful for shops, clinics, showrooms and offices that expect visitors. It is less useful for a business that works entirely online, where it can even suggest customers may walk in.
Getting the map right
- Search for your business on Google Maps and confirm the pin sits on the correct building, not the middle of the road.
- Embed the map from your verified business listing so the name appears with the pin.
- Add a plain text address beside the map, because some visitors copy it into a cab or delivery app.
- Include a nearby landmark, such as "opposite the State Bank branch", which is how many Indian customers actually find places.
- Add a "Get directions" link that opens the map app on phones.
Check that the embedded map does not push the phone number and form far down the screen on mobile. A map is heavy content; place it below the main contact options if space is tight.
The contact form: fields, messages and delivery
Forms fail in more ways than any other contact option, and they often fail silently. The page looks fine, the visitor clicks submit, and the message goes nowhere because an email setting changed months ago.
Form fields to include
- Name
- Phone or email, with at least one required
- A short message box
- An optional dropdown for the enquiry type if you route messages to different people
Every extra required field lowers the chance someone finishes. Ask for a company name or budget only if you truly use it.
Form tests to run
- Submit a real test enquiry from a phone and a laptop and confirm both arrive in the right inbox
- Check the spam folder, since form emails are often filtered
- Leave a required field empty and confirm the error message says which field and why
- Make sure the number field brings up the numeric keypad on mobile
- Confirm a clear thank-you message appears after sending, with an expected reply time
- If you use a CAPTCHA, check it does not block genuine users on slow mobile data
Add a line near the form explaining how you use the details submitted, and link to your privacy policy. It builds trust and reflects good data practice.
Working hours and response expectations
Hours matter more than most owners expect. A caller who rings at 7 pm and gets no answer may assume the business has closed down. Show your hours in a simple format, such as "Monday to Saturday, 10 am to 7 pm", and mention holidays when they apply.
State reply times for non-phone channels too. "We reply to emails and forms within one working day" sets a clear expectation. Then keep that promise, because a missed promise is worse than no promise.
Update the hours whenever they change, including during festivals such as Diwali, and remember to change them back afterwards.
Mobile layout and accessibility checks
Most visitors to a local business site arrive on a phone, so test the page on one before calling it finished.
- The phone number or call button is visible without scrolling far
- Buttons and links are large enough to tap, roughly 48 pixels high with space between them
- Text in the address and hours block is readable without zooming
- Form labels stay visible while typing rather than disappearing as placeholders
- Text and button colours have sufficient contrast, at least 4.5:1 for normal text under WCAG AA
- The page loads reasonably fast on mobile data; run it through PageSpeed Insights
Also test the page with the screen rotated and in a smaller browser window. Maps and forms sometimes overflow and create sideways scrolling.
Schedule a monthly contact page test
Contact details break because nobody checks them after launch. Put a recurring reminder in your calendar to submit the form, tap the phone and WhatsApp links, and read the hours once a month. It takes about ten minutes and catches problems before customers do.
If your form or layout needs more than small fixes, our team can rebuild the page as part of professional website development, and you can see what support is available on our support page.
Frequently asked questions
Should I put my full address on the contact page if I work from home?
You do not have to publish a home address. Many home-based businesses list the city and PIN area only, plus phone and email. If you need a public address for registrations or listings, consider a virtual office or co-working address instead.
Is a contact form enough without a phone number?
For some online-only services it can be, but many Indian customers want to call or message before buying. Showing at least one direct channel alongside the form usually reassures people that a real business is behind the site.
Why are my contact form emails going to spam?
Common causes include sending from an address that does not match your domain or missing email authentication records such as SPF and DKIM. Using a proper SMTP service for form emails usually improves delivery.
Should the contact page have its own link in the main menu?
Yes. Visitors expect to find Contact in the top menu, often as the last item, and in the footer. Hiding it inside an About page makes people work harder to reach you.
